Job summary
As a Facilities & Workplaces Services Leader, you will oversee the day-to-day operations of our Poznan office in a dynamic environment. You will join the Enterprise Real Estate & Facilities team, which consists of people based in different locations within the EMEA region. Your role includes managing one direct report.
Key responsibilities:
• Supporting company’s health and safety initiatives and working with the H&S manager
• Contractors and vendors management: Oversee vendor management, review quotes, submit Purchase Orders, and review final invoices for processing promptly. Review contracts annually for cost and quality effectiveness.
• Fleet management: planning, directing, managing, coordinating, and supervising the programs for acquisition, assignment, utilization, maintenance, repair, replacement, and disposal of approximately 25 fleet vehicles in Poland.
• Environmental reporting
• Budget management: support and manage the office budget and ensure that fiscal controls are followed, monthly financial reports are a true reflection of expenses incurred, invoices are approved and appropriately funded, and budgets are developed consistent with Company format, schedule, and content requirements. Forecasting the future spend and cost to be incurred based on the office needs
• Office space management and occasional office events organization
Minimum qualifications:
• Basic knowledge of Health & Safety responsibilities for managing the office and willingness to obtain H&S certification.
• Fluent English and Polish (verbal and written)
• Project Management and event planning experience
• Previous experience in Facilities, Office Management, or Hospitality capacity
• Good command of MS Office, particularly Excel
• University Degree
